Division of General, Legal and Governance Affairs of Brawijaya University held a work meeting of Mailing Administration Information System (SIAS) program on Thursday (27/Jul/2018). The meeting was a follow up on SIAS Focus Group Discussion which has conducted in February. Head of General, Legal and Governance Affairs Division Dra. Rosadah Agustin Syarief, M.AB delivered, regularity of mailing system at Brawijaya University as well as its digitizing is one of the Rector’s commitments.
“Rector expected the digitalization system can be 100 applied, because of the high numbers of letters, meanwhile the Rector is not at all time in the office because of official purposes,” Rosadah mentioned.
Rosadah added, currently SIAS has been applied in the main office, but the digital disposition is still up to the bureau level. For division and sub-division level is still not applied yet.
Currently Technical Implementation Unit of Information and Communication Technology (ICT) has developed SIAS to further simply the mailing system. Among them are 1. Centralized and integrated mailing system. So the letter is not only inputted by Division of Administration Affairs, but all divisions or units in the main office can input as well. 2. Mailing disposition can be addressed to more than one official, 3. Letter encoding is adjusted to Peraturan Rektor UB Nomor 24 Tahun 2016 tentang Tata Naskah Dinas.
“Certainly with various SIAS developments need principal’s commitment to be active to apply, so the mailing system can run smoothly in accordance with the wish of the Rector,” said staff of Brawijaya University ICT Technical Implementation Unit Ratno Wahyu Widyanto, S.T.
While in terms of archives, it is expected there is a comprehensive and integrated archive handling. Therefore, its takes some additional information in SIAS to support the good archive management.
“It is expected there is a cooperation between Technical Implementation Unit of ICT and Sub Division of Archive to adjust mailing system at Brawijaya University with the policy issued by Indonesia National Archive. Because in addition to description of mailing classification code, it is necessary also added with archive retention schedule as well as security classification system,” said Archive staff Bobbi Hari Siswanto, A.Md.
In the end of the event, Ratno said that Technical Implementation Unit of ICT will still continue to develop SIAS application. “It is expected by the end of August 2018 the latest SIAS can already be implemented at the main office, and afterwards to be applied at each of the faculties.
